Decision framework

This travel budget calculator adds up accommodation, food, transport, activities, insurance and eSIM for the whole group, adds a buffer and shows the total per person and per day. Turn on the emergency reserve to add extra days, a medical reserve and an exit ticket.

Trip days are nights plus one, so a seven-night trip has eight days of food. Enter accommodation as one nightly amount for the whole group; it is multiplied by nights only. Food is per person per day and is multiplied by days and travelers. Transport, activities, insurance and eSIM are totals for the group. The buffer percentage is added to the subtotal. The emergency reserve is added on top: each emergency day costs one more night plus a day of food for the group, and the medical and exit-ticket reserves are fixed sums. The result appears as the budget with reserve.

Example: seven nights for one traveler

In EUR, as the calculator opens: 7 nights, 1 traveler, accommodation 95 a night, food 35 a day, transport 120, activities 160, insurance 45, eSIM 15, buffer 15%. Accommodation is 7 × 95 = 665 and food is 8 × 35 = 280. The subtotal is 1,285, the buffer is 192.75 and the total is 1,477.75, or 184.72 a day over 8 days. With the emergency reserve on, 5 extra days at 130 (one night plus a day of food) add 650, the medical and exit-ticket reserves add 250 + 400, and the budget with reserve is 2,777.75.

Before you call the budget funded

  • List hotel and car rental deposit holds next to the total.
  • Keep the emergency reserve with a different provider from your daily spending card.
  • Check insurance exclusions and claim documents before you count on the medical reserve.
  • Compare the total with money you can reach on the dates you pay, and keep one backup that works without your main phone.

FAQ

Why is food counted for eight days on a seven-night trip?

The calculator counts both the arrival and the departure day, so days are nights plus one. If you eat fewer meals on travel days, lower the daily food amount.

Should I multiply the hotel rate by the number of travelers?

No. Enter the combined nightly cost of all rooms the group needs. The calculator multiplies it by nights only; food is the amount multiplied by travelers.

What does the emergency reserve add?

Extra days at the cost of one more night plus a day of food for the group, a medical reserve and an exit-ticket reserve. The buffer percentage is already in the trip total, so it is counted once.

How is the medical reserve different from travel insurance?

The medical reserve is cash you set aside yourself to pay a clinic before any claim is settled. Cover, direct billing and claim rules come from your policy.

How much card balance do I need at check-in?

Plan for the booking payments due on each date plus any temporary holds, such as a hotel deposit. The trip total covers spending; holds tie up extra balance until they are released.
